Why your company needs n8n

Every department has repetitive work that someone does but nobody should have to do: manually copying orders from system A to spreadsheet B, routing customer questions by hand, or opening Excel at 8:00 every morning to paste yesterday’s results into a report. These tasks consume 1–2 hours a day, or 300 staff hours a year.

These tasks have three things in common: clear rules, data already in systems, and repeated actions. That is where n8n fits: represent the rules as a workflow, let n8n run it around the clock, and review the reports periodically to confirm it is healthy.

Concept: Like Zapier and Make, n8n lets you connect nodes visually. Unlike them, its source is available under a fair-code license: you can self-host it, retain your data, avoid a fixed monthly plan with usage-based infrastructure, and integrate any API. At the source snapshot its GitHub repository showed more than 130k stars; check the repository for the current count and activity.

What n8n is

n8n (pronounced “n-eight-n”) is a source-available, fair-code workflow automation engine. On its canvas, connect a Trigger to action nodes to create a workflow:

  • A trigger can be a schedule (8:00 every morning), a webhook (someone submits a form), or a system event (Gmail receives a message).
  • An action is what happens next: query Google Sheets, post to Slack, create a Notion page, or send an HTTP request to an internal system.
  • Data flows from the first node to the last. Along the way, a workflow can evaluate conditions, branch, merge, and transform formats.

At the source snapshot, official and community catalogs together listed more than 2,500 integrations and nodes (Slack, Gmail, Notion, Airtable, Google Workspace, Salesforce, Stripe, LINE, Telegram, Discord, AI Agent, and more); check the live catalog because the total changes. For a service without a ready-made node, use HTTP Request to call its API.

Tip: You do not need to master those details. Both options hide the n8n implementation. Tell WoowTech what you want to automate, and we handle the rest.

Two options, depending on whether you want to self-host

With either option, WoowTech builds, maintains, and troubleshoots the workflows. The difference is where the n8n server runs: on your infrastructure or infrastructure managed by WoowTech.

Option A · Self-hosted

For organizations or individuals that already use Home Assistant OS or need to keep data on their own premises

n8n runs as a Home Assistant add-on on your HAOS host, so the data stays on your premises. WoowTech builds the workflows, maintains the system remotely, and delivers templates.

Tip: Not sure which option to choose? Many companies trial Option B for one month. After two or three workflows demonstrate value, move sensitive workloads such as customer lists or financial data to Option A.

Option A · Self-hosted, in detail

If your home or company already has a Home Assistant OS host—even the one from the pi agent tutorial—n8n is another add-on. WoowTech remotely handles installation, configuration, and workflow deployment after you provide appropriate HA access.

What you receive

  • n8n add-on installation: repository setup, installation, initialization, SSL, and reverse proxy configuration.
  • N implemented workflows: list 5–10 scenarios when the project starts; WoowTech builds each workflow, tests it with your accounts, and deploys it.
  • Template Package: select suitable workflows from WoowTech’s library, such as order notifications, customer tracking, daily reports, and LINE bot support; add your fields and deploy.
  • Quarterly review: remotely review execution error rates, update the version, and remove expired data once per quarter.
  • Issue support: if a workflow fails overnight, an on-call WoowTech engineer responds within 8 hours on business days. A separate SLA applies to urgent payment or operations cases.

  • Organizations already using Home Assistant for offices, server rooms, or project sites
  • Users who want deep integration between n8n, pi agent, or smart-home services on the same HA host

Hardware requirements: The n8n add-on has modest hardware requirements: an RPi 5 (8GB), NUC, or any x86 machine that runs HAOS. The recommended limit is 30–50 active workflows on one host; beyond that, upgrade the host or use Option B.

Option B · Managed by WoowTech, in detail

Choose this option to avoid hardware and IT operations. WoowTech runs an n8n environment (n8n.woowtech.io, recorded in this repository as Community Edition v2.32.7; confirm the running version in the instance before relying on compatibility). Your workspace is logically isolated from other customers with separate data. There is no installation cost, and it can be provisioned the same day.

What you receive

  • Dedicated workspace: multiple users, a separate database and execution history, and isolation from other customers.
  • Shared credentials pool (optional): common services such as SendGrid, Twilio, OpenAI, and the official Slack app can use WoowTech’s pool where terms permit. You do not need a separate account, and costs are allocated by usage.
  • Workflow implementation: as with Option A, WoowTech builds, tests, and deploys the workflows.
  • Usage-based pricing: a workflow that runs 24 times a day differs from one that runs 24,000 times. Pricing is based on actual executions, and off-peak users pay very little. [PRICING AND CURRENCY TBD]
  • SLA 99.5%: service-wide monitoring and automated backups, with a response to major incidents within 4 hours.

Who this option fits

  • Companies new to n8n that want to trial one workflow
  • Companies whose data already resides in cloud SaaS products such as Google Workspace, Notion, Airtable, and Slack
  • Companies that do not want to maintain hardware or plan version upgrades
  • Companies that want to use the managed option for six months, then move selected sensitive workflows to Option A
Tip: Both options use the same n8n. Workflows can be exported from one and imported into the other. Export the JSON from a managed workflow to move it to your own add-on.

Automated order notifications and recording

When a new order reaches the commerce back end, automatically write it to Google Sheets, post to Slack, and notify shipping. Nobody needs to sign in at 10:00 every morning.

LINE/Slack customer-support routing

When a customer asks a question through the official LINE account, AI Agent classifies it first. It routes returns to customer support, technical issues to engineering, and everything else to the general queue.

Automated daily/weekly reports

A cron trigger runs at 8:00 every morning: retrieve yesterday’s data from each system, calculate key metrics, prepare Google Slides, and email management.

Automated email archiving and replies

When an email from a specified customer or with a specified keyword arrives, label it, save it to Google Drive, send a standard reply, and record it in the CRM.

AI Agent data organization

Security, backups, and SLA

Data storage location

  • Option A (self-hosted): all workflow definitions, execution history, and credentials remain on your HAOS host. WoowTech connects remotely for maintenance, disconnects afterward, and retains no copy.
  • Option B (managed by WoowTech): data is stored on a WoowTech-managed VM, with automated daily off-site backups. Customers are logically isolated, with a separate database for each workspace. [HOSTING REGION TBD]

Credential storage

  • Both options use n8n’s native encrypted storage (AES-256). Only the workflow runtime can decrypt credentials.
  • During remote maintenance, WoowTech engineers cannot export credentials or copy them elsewhere. n8n does not provide that function, and we do not bypass it.

FAQ

How is pricing calculated?
Both options have a one-time setup fee plus a monthly fee, including maintenance and N workflow changes. Rates depend on the number of workflows, expected execution volume, and SLA tier. [PRICING, CURRENCY, AND QUOTE CHANNEL TBD]
Can I change a workflow myself?
Yes. Both options give you full n8n access, so you can learn to modify workflows or build new ones. WoowTech is available when you do not want to—or do not know how to—make a change. To learn, read the site’s 22-chapter n8n Onboarding Guide.
What is the Option B credentials pool, and how does it differ from my own Slack/OpenAI accounts?
With separate SaaS accounts, you pay each subscription and manage each quota. In the credentials pool, WoowTech obtains commercial accounts for several customers and allocates costs by actual usage. This can reduce costs for low-volume users and consolidate billing. You may opt out and use dedicated accounts.
Can I start with Option B and move to Option A later?
Yes. A common path is to trial the managed option for one month and verify that its workflows improve KPIs. Then export sensitive workflows as JSON to your HAOS add-on. WoowTech assists with data migration and reconnecting credentials.
Does WoowTech use n8n Community or Enterprise Edition? Are features missing?
This repository records Community Edition v2.32.7; confirm the running version because the instance follows community upgrades, which supports typical small and midsize business needs, including AI Agent, custom nodes, sub-workflows, and error workflows. Enterprise-only features such as LDAP/SAML SSO, Advanced RBAC, and version-control integration can be addressed through a separate hybrid deployment.
Can a company without an IT department adopt it?
Yes. That is the purpose of this service. WoowTech covers requirements, workflow development, deployment, and maintenance. You need only one point of contact.
We are comfortable with Zapier. Is n8n worth switching to?
Consider two questions: (1) Does Zapier cost more than USD 100 per month? (2) Do you need something it cannot do, such as connecting an internal system or looping hundreds of times? If either answer is yes, discuss the options. Almost every existing Zap can be rebuilt in n8n, often with more flexibility.
